Users & licenses
Use the Users & license page to review and manage users under your entity account. Note that this page is only available to users that sign in using an Entity admin account.
Access Users & license
To access the Users & license page, perform the following steps:
- Launch the TeamOne dashboard view.
- Click your User avatar on the top right.
- Select Manage entity from the list.
By default, the Entity Profile page appears. - Click Users & license on the left panel.
The right panel should update to show the Users & license page.

Invite a new user
To invite a new user under this entity, follow the steps below.
- Click Invite entity user.
- On the popup, select a team where the invited user will join.
- Click Next.
- To add members via email:
- Type an email address in the input box under the 'By email' label.
- Press Space or Enter to add the email address as a new entry.
- Type additional email addresses as needed. *
- Click to remove an existing entry.
- Once you've added all email addresses, click Send invitation.
TeamOne sends an email to all recipients with an invite link to the current board.
- To add members via link:
- On the input box under the 'By link' label, click Copy Link. This will save the invite link to the system clipboard.
- On your chosen platform (email, sms, chat, etc.), add this link to messages that you will be sending to invite users to your team.
- To reset the invite link, click the Refresh icon. After a reset, users can no longer join using any previously generated links. Only one invite link can be active at a time.
- Once users click the invite link:
- If they are already signed in to a TeamOne account, they will be automatically added as member.
- If they are not signed in to a TeamOne account, they will be asked to sign in first, then automatically added as member.
- If they do not have a TeamOne account, they will be asked to create one. They will be automatically added as members after they complete the sign up process.

You will not be allowed to add additional email addresses if the last one provided is not in a valid format. Check the last entry for typos, and try again.
Users & licenses
New users are automatically assigned a status of Activated.
Licenses are allocated based on the number of Activated users in the Entity. Each active user requires and consumes one license. To free up a license for reassignment, deactivate a user.
Manage users
The Users & license page shows a table listing all users that have been invited to the current entity. This table contains the following details:
Column | Description |
---|---|
Name | Name and email address of this user. Also indicates if the user is an Entity Admin. |
Status | Indicates if this user is Activated or Deactivated. Click the ellipsis to toggle status. |
Enrolled teams | Number of teams where this user is a member. Click the number to see a list of teams. |
Last activity | The last time this user accessed a board under the current entity. |
The Users & license page provides the following options to manage your teams. To access these options, click the ellipsis on your target user's row entry:

Open user profile.
Launches a popup that shows a summary of various information about this user. -
Deactivate user.
Disables the user's ability to interact with this Entity and its boards. Note that this not affect the user's ability to interact with teams and boards that belong to other entity accounts. -
Activate user.
Enables the user's ability to interact with the Entity and its boards. Only available for users that have the Deactivated status. -
Remove user from entity.
Revokes the user's membership from this entity. Once removed, the user loses access to all teams, projects, and boards under this entity. The user needs to be invited back to re-join the entity.
The number of users in the list may grow after a while. Use the following options to manage this list:
- To find users via their email, use the Search box. Type a few characters and the list should show only the entries that match.
- To filter the list by Status, click the tags at the top. The list should show only the entries that have the same status.
- To sort by users with the most recent interactions, click the arrow on the Last activity column to toggle between oldest first and newest first.
